1. Introduction
These Terms & Conditions apply to all psychological services provided by Nataliya Redina – Expat Psychologist (MSc) (“the psychologist”). By booking a session, the client agrees to these Terms & Conditions. The psychologist adheres to the professional standards of the Netherlands Institute of Psychologists (NIP), the Wkkgz, the WGBO, and the AVG/GDPR.

The psychologist offers:

A GP referral (verwijsbrief) is not required.
The psychologist does not provide:

24/7 crisis care

4. Privacy & Data Protection (AVG/GDPR)
The psychologist processes personal data in accordance with the AVG/GDPR, professional confidentiality laws, and WGBO requirements.
Key principles:
Only necessary personal and health data are collected
All data are stored securely for 7 years after the last contact
Confidentiality is treated with the highest level of care
Clinical notes are protected and stored separately
Clients may request access, correction, or deletion (within legal limits)

5. Confidentiality
All sessions are confidential. Information will only be shared with third parties if:

the client provides explicit written consent,

disclosure is legally required, or
-
there is a serious and immediate concern for safety.
In cases involving imminent risk of harm to the client or others, or child abuse, the psychologist may disclose only the information necessary to ensure safety. The psychologist adheres to Dutch professional secrecy (beroepsgeheim) law and the NIP ethical guidelines
6. Fees, Payments, and Reimbursements
Fees
The following rates apply to all services:
The Netherlands
Individual session: €120
(Unemployed individuals or full-time students receive a 21% reduced rate → €94.80)Couples session: €148
Group session: €60 per person
Belgium
Individual session: €70
Couples session: €100
All fees are exempt from VAT under healthcare legislation unless otherwise stated.
Payment
Clients receive an invoice on the first day of the week in which the session is scheduled.
Payment must be completed at least 24 hours prior to the session.
Sessions not paid on time are automatically cancelled.
Reimbursement
All services are privately paid.
The psychologist does not bill Dutch health insurance directly.
Clients may submit invoices to Dutch or international insurers if their policy provides reimbursement.
Reimbursement depends solely on the client’s insurance policy.
Clients may consult their accountant regarding declaring non-reimbursed expenses in their annual tax return.
7. Appointments, Cancellations & No-Show Policy

Appointments may be cancelled or rescheduled free of charge up to 24 hours before the session.

Cancellations within 24 hours or no-shows are charged at the full session rate.

Arriving late does not extend the session time.
This policy exists to respect time reserved for each client.
8. Online Sessions (Video Sessions)
Clients participating in online therapy agree to:

ensure a quiet and private environment,
-
use secure, up-to-date devices,
-
maintain a stable internet connection.
The psychologist uses secure, privacy-compliant platforms for video sessions.
9. Client Responsibilities
Clients agree to:
-
provide accurate and relevant information,
-
attend sessions on time,
-
inform the psychologist of changes in contact details or circumstances,
-
seek immediate help (112 or huisartsenpost) in cases of crisis or acute safety risks.
The psychologist cannot respond to emergencies via email or messaging.
10. Crisis & Emergency Policy
The psychologist does not provide:

emergency response
-
crisis intervention
-
on-call services
In urgent or dangerous situations, clients must contact:

Huisartsenpost / GP

Local crisis teams
11. Cancellation of Services by the Psychologist
The psychologist may postpone or end services if:
-
the therapeutic relationship is no longer effective,
-
safety becomes a concern,
-
professional boundaries are compromised,
-
payments are repeatedly overdue.
This is always communicated respectfully and professionally.
12. Complaints Procedure (Wkkgz & NIP)
The psychologist is affiliated with the NIP Wkkgz Complaints and Dispute Scheme.
Clients with concerns are encouraged to follow the steps:
1. Discuss the issue directly (optional but sincerely welcomed)
2. Contact the independent complaints officer (Klachtenfunctionaris)

The independent complaints officer is neutral, free of charge, and trained to guide clients through the process.
3. If unresolved: Disputes Committee
Complaints may be escalated to the Dispute Resolution Committee for Independent Mental Health Practices. This committee issues a binding decision.

13. Liability
The psychologist is insured for professional liability (beroepsaansprakelijkheidsverzekering) through AoN. Without prejudice to the scope of this insurance, the following limitations apply:
Indirect or consequential damages
The psychologist is not liable for indirect or consequential damages, including but not limited to loss of income, missed opportunities, or other forms of follow-on damage.Client decisions and actions
The psychologist is not liable for decisions, behaviours, or actions undertaken by the client on the basis of information exchanged during sessions. The client remains at all times responsible for their own choices and actions.Technical issues in online consultations

The psychologist is not liable for temporary unavailability due to illness, force majeure, or other unforeseen circumstances.Legal limitations
These exclusions and limitations apply only insofar as permitted under Dutch law. Where such exclusions are not legally allowed, the psychologist’s liability is limited to the amount paid out under the applicable AoN liability insurance policy.

14. Intellectual Property
All written materials, documents, and exercises provided during treatment remain the intellectual property of the psychologist and may not be copied, distributed, or shared without prior written consent.
15. Changes to Terms & Conditions
These Terms & Conditions may be updated when necessary.
The latest version is always available on the website.
Continued use of services implies acceptance of the updated Terms.
16. Applicable Law
These Terms & Conditions are governed exclusively by Dutch law. Any disputes will be handled through Dutch legal procedures.
17. Code of Conduct (NIP Ethical Standards)
The psychologist adheres to the Professional Code of Conduct of the Netherlands Institute of Psychologists (NIP), which sets the national ethical and professional standards for psychologists in the Netherlands.
Key principles of the NIP Code of Conduct include:
1. Respect for Client Autonomy
Clients are treated with dignity, respect, and cultural sensitivity.
Clients have the right to make informed decisions about their treatment.
2. Professional Competence
The psychologist works within the limits of her education, training, and experience.
Continuous professional development is maintained to ensure high-quality care.
3. Confidentiality and Professional Secrecy
All client information is confidential and handled according to Dutch secrecy laws (beroepsgeheim), the WGBO, and the AVG/GDPR.
Information is shared with third parties only with explicit consent or when legally required.
4. Integrity and Professional Boundaries
The psychologist maintains professional boundaries at all times.
Dual relationships, exploitation, or any form of inappropriate behavior are strictly prohibited.
Therapeutic decisions are made solely in the client’s best interest.
5. Responsibility and Quality of Care
Care is evidence-informed, transparent, and based on psychological science.
If treatment is no longer beneficial or appropriate, referral options will be discussed.
6. Safety and Reporting Obligations (Wkkgz)
The psychologist follows all safety regulations and mandatory reporting requirements, including:

Reporting of violence in the care relationship

Reporting of serious incidents or calamities

Participation in quality improvement processes
7. Fairness and Transparency
Clients receive clear information about fees, policies, confidentiality, and their rights.
Complaints are handled constructively and according to the Wkkgz and NIP procedures.
